Zap Expenses is an automated expense capture and processing tool for individuals and small businesses.

The service is provided on an as-is basis. While reasonable efforts are made to extract accurate data, Zap Expenses does not guarantee the accuracy of automatically processed information.

Users are responsible for reviewing all exported expense data before using it for accounting, tax, or reporting purposes.

Acceptable use

Users may only submit receipts and documents they are authorised to share.

Where messaging platforms such as WhatsApp are used:

• Messages must be sent by the user voluntarily.
• Messages must relate to expense management, including receipt submission, mileage logging, compliance checks, and report requests.
• Messaging is automated and should not be used for general conversation unrelated to expense management.

Messaging limitations

Zap Expenses does not use messaging platforms to send marketing messages, seek out new users, or initiate unsolicited conversations.

Data security & retention

We are committed to protecting your financial data:

• All receipt images and documents are stored with server-side AES-256 encryption (Cloudflare R2).
• Server access is secured exclusively via SSH key authentication.
• All user data — receipts, mileage logs, and expense records — is retained permanently for the lifetime of the service to support HMRC audit readiness.
